Flexible Capacity

Safe Records Management is a financially strong and independent business.  We offer a consistently high quality of service because we control the facilities and resources necessary to provide this.  SRM owns its facilities through an associated company and currently stores around 13,500,000 archive units.  We have an ample spare capacity to welcome new customers and cope easily with variations in demand.  Our racking can accommodate items up to 7 feet high and 12 feet wide and we can provide segregated areas of up to 30,000 square feet from 50 to 50,000 archive boxes Safe Records Management has its own fleet of secure, liveried, satellite-tracked vehicles

Quality and Control

SRM facilities conform to BS5454, which specifies a set of ideal conditions for keeping archives.  SRM is ISO9001:2008 accredited and a member of both the United Kingdom Warehousing Association and Society of Archivists Group.  We are also attaining ISO 14001 accreditation for environmental management.

Highly Protected

All SRM facilities are protected by Redcare Audio Verified Intruder Alarm Systems, installed, maintained and monitored by a major security company with the additional benefit of a full Level 1 police response. Localised heat activated fire suppression protects all areas,  and are also monitored.  In the unlikely event of fire, detection systems enable it to be total extinguished within seconds. A detailed security policy is available upon request  Electronic data is backed up in real time of a RAID 5 (striped) configuration server and through multiple locations off site.  A ‘Disaster Recovery Plan’ is also available on request.

This is our core business, not an affiliate to something else. We are well established and respected suppliers to both the public and private sector, with a client base that includes local government, primary care trusts, highly regulated industries such as pharmaceutical and nuclear and also 10% of FTSE 100 listed companies
• Reliable service -  SRM owns its properties. We use permanent employees who are fully trained and vetted and our own fleet of high security liveried vehicles.
• Your Documents are Fully Trackable - SRM utilises the O’Neil system that delivers an extremely robust and stable platform to manage SRM’s 13,500,000 archives.  Units are barcoded and every activity or movement is fully auditable down to the specific date, time and employee.
• Transparent Pricing - Our pricing structure is extremely transparent. Our retrieval charges include everything from the documents leaving our racking to the documents returning to our racking. We do not charge for collection, picking, re-filing or ‘transportation’. All collections are free of charge.
• Dedicated Account Representative – Clients are allocated a single person within the Operations Department to assist with all requirements and liaise on your behalf within the organisation. You can speak to the same person whenever you call... someone who understands your needs, because they work with you all the time.
• Free Web Facilities - Clients are provided with 24 hour web archive facilities. Online services include ordering, order tracking, viewing archive inventories, box contents and file information, constructing reports. Training to use these facilities is free of charge.
• Free IT Support – Telephone support to web users and provision of customised reports, including activity reports, cost centre breakdowns and destruction reports. This service is free of charge.
• Viewing Rooms - Enable clients to visit our facilities and inspect documents in privacy. This is particularly useful fgor identifying documents for destruction and reallocating documents to new cost centres.
• Secure Destruction - The process involves cross shredding to 4mm, followed by pulping and we provide a certificate for audit purposes.
• Scan on Demand – Where hard copy is not required, we locate documents, scan them and send them to clients as a pdf file.
•  Box Supply – We supply a range of sturdy 3 layer document boxes
